How to organise useful records before a professional appointment
How to organise useful records before a professional appointmentBefore a conversation with a family lawyer, mediator, parenting coordinator or another relevant professional, ask their office what they want to receive and how to send it. Then prepare a short statement of the issue, your questions and the relevant material they requested. Keep summaries linked to their original sources, and mark anything you do not know.
Our appointment preparation checklist provides blank fields for the purpose, questions, practical details and next actions. It is an organisation tool, rather than a list of documents every person must supply.
Ask what will help the conversation
A professional's requirements depend on the work they are doing and your circumstances. Their office may give you an intake form, a document list or instructions for a secure upload. Check those instructions before assembling a large folder or sending sensitive information.
Record the appointment time and time zone, the location or call details, and any communication or access needs. If you have been given a deadline, write down both the date and its source so you can ask about anything unclear.
Prepare the questions you want answered
Write one sentence describing the practical issue you want to discuss. Follow it with your main questions. You do not need to turn that sentence into a legal argument.
A fictional example is: “I want to discuss how to organise the next school holiday's practical details.” Questions could include what information would help the conversation, which dates need confirmation and who should confirm the next step. These are prompts for preparing a conversation, not advice about what arrangement to seek.
Leave space for the professional's response. You may find that a question needs different information or that an issue should be handled through another service.
Make a small index of relevant material
Use clear file names and note the period each file covers. An index can help you find the requested original while you are speaking. It can be as simple as:
| Reference | Description | Date covered |
|---|---|---|
| S1 | The schedule requested for this conversation | The relevant period |
| M1 | A specific confirmation message | Its actual date |
| N1 | A short factual note, if relevant | Event date and note date |
The rows are illustrative. Include only material that is appropriate and useful, and follow the professional's request about what to supply. Avoid circulating a whole message archive when you have not established that it is needed or appropriate.
Check a chronology against its sources
If a short chronology would be useful, give each event a date, a brief factual description and the relevant source reference. Keep an observation separate from a statement in a document and from your interpretation. Mark gaps rather than filling them with guesses.
An entry might say, “I received a school bag at 4:05 p.m.; note written at 6:10 p.m.” A later correction should identify what was clarified and when. Our factual record template includes separate fields for those details and a worked fictional example.
The same check applies to an AI summary or generated report: read the underlying records before relying on it. A summary can miss context. The professional decides what is relevant and how to assess it.
Confirm the next step before you finish
Write down the agreed next action, who is responsible and any date or deadline. Ask what additional information would be useful and how to provide it. Keep those follow-up notes somewhere you can find again.
