A practical handover checklist: time, place and what needs to travel

A useful handover checklist starts with the arrangement that already applies to your family. Check the date, exact time, place and who is collecting. Then list the items needed for the next care period. Keep a proposed change separate from a confirmed one, and use the communication route that is appropriate for your circumstances.

You can open our printable handover checklist without creating an account. It includes blank fields and a fictional example, so you can adapt it rather than starting from an empty page.

Start with the confirmed details

“Friday afternoon” leaves a detail to find later. A date, time and place give you a practical reference. Write down where that information came from: the current schedule, an agreement, an order or the relevant confirmation.

If someone has suggested a different time, keep that suggestion separate until you have the confirmation you need. A checklist is a way to organise the details. It does not decide whether a change is agreed, appropriate or legally effective.

For a fictional family, the entry might read:

Detail Fictional example
Date and time Friday, October 16, 4:00 p.m.
Place The agreed library entrance
Collecting Parent A
Source The relevant schedule and confirmation
Still to confirm Whether the swimming kit will travel

The example shows how to fill the fields. It is not a recommended handover arrangement.

Pack for the next care period

A small list is easier to reuse than a page covering every possibility. Start with the school bag, the homework or activity items needed that week, and any clothing or personal item that needs to go between homes. Add relevant care instructions already agreed or supplied by the appropriate professional.

Make the list fit the actual next care period. If the same item stays in one home, it does not need to appear on every checklist. If an activity happens on a different day, check what is needed for that activity. Avoid putting unnecessary identifying or sensitive information on a printed sheet that could be left in a bag.

Give a focused practical update

When an update is useful and appropriate, one specific fact can be enough: “The school bag is ready. The library book is in the front pocket.” If you need confirmation, identify the detail requiring it through the agreed communication route.

A handover message can stay focused on the handover. Questions about unrelated matters can be kept in their relevant conversation or raised through appropriate professional guidance. The checklist does not require a joint conversation or a particular communication method.

Keep any note clear and proportionate

Afterwards, note an outstanding practical task if it helps, such as returning an item. If you want a record of an event, separate what you directly observed from what a source says and what remains uncertain. Our factual record template has separate fields for those parts.

For example, “I received the school bag at 4:05 p.m.” describes an observation. It does not explain why someone arrived at that time. Dates, source references and clear uncertainty are more useful organisational details than guessed motives.

Put the useful details somewhere findable

You can use the printable sheet on its own. Custody Companion also brings parenting schedules, communication and important records into one workspace. You can start independently and use the parts that fit your family; inviting a co-parent is optional. Explore the current features or create a free account.
